Data export and deletion policy
Last updated 26 October 2026. Accord is run by New Odyssey.
What we hold
- Your account: your email address, name if you add it, and where you came from when you signed up (for example a link or campaign tag).
- Your workspace: settings and branding, your price list, templates and clauses.
- Your proposals: drafts, the notes you pasted to draft them, every sent version, client links, comments, follow-up emails and timeline.
- Your clients' activity on proposal links: when a link was opened, the email they confirmed, comments, and approval or decline records (name, email, time, IP address, browser and the version's fingerprint).
- Billing: your plan and subscription status. Card details are held by Stripe, never by Accord.
Each workspace is separate
Everything above belongs to one workspace, and only its members can see it. A client link opens one sent version of one proposal and nothing else. We don't share your data with other New Odyssey products, and we don't use it to train AI models. Notes you ask Accord to draft from are sent to our AI provider (Anthropic) only to produce your draft.
Exporting your data
- Any proposal: download a PDF of any sent version, or the full record as JSON (versions, comments, approvals, links and timeline), from the proposal's page.
- Everything: workspace owners and admins can download all proposals as one JSON file under Settings → Your data.
- Your price list: download it as a CSV file from Prices, or under Settings → Your data.
Exports are available at any time while your workspace exists, including after you cancel your plan.
Deleting data
- Delete a single proposal from its More menu. Its versions, links, comments, approval records, follow-ups and logs are deleted with it, and its client links stop working straight away.
- The workspace owner can delete the whole workspace under Settings → Your data. This cancels the plan immediately and permanently deletes everything in the workspace. Sign-in accounts that belong to no other workspace are deleted too.
- Deletion takes effect immediately in the live service. Database backups kept by our hosting provider (Render) expire on its standard schedule.
- A minimal security log (account ids and actions such as "signed in" or "plan started", with no proposal content) is kept so misuse can be investigated.
- Stripe keeps its own billing records as the law requires.
If you stop paying
Your workspace stays available to read and export until you delete it. You can't send new proposals without a plan.
